From a legacy booking platform to a single instance that tracks a Meta ad click all the way to a booked event.
Bookings, guest coordination, and follow-up were spread across a legacy booking tool, manual email, and separate SMS. No conversion tracking on the reservation site meant Meta and Google were reporting on nothing.
The situation
The operator was running charter and private-event bookings out of a legacy reservation platform, with guest coordination stitched together through personal email inboxes and a separate SMS tool. Every handoff — inquiry to hold, hold to deposit, deposit to sailing — was manual.
Worse, the reservation site had no meaningful conversion tracking. Meta and Google Ads were reporting on landing page views at best. There was no way to know which ad, campaign, or creative was producing an actual booked event, so budget decisions were guesses.
What we did
Full GoHighLevel Autopilot build.
Rebuilt pipelines, automations, and calendars inside a single GHL instance. Inquiries flow into a defined pipeline, holds and deposits trigger the correct guest and internal workflows, and post-event review requests fire automatically.
Retired the legacy booking platform.
Migrated live inventory, guest records, and future reservations into the new system without dropping bookings in flight. Cut the old subscription entirely once parity was verified.
Attribution wired click-to-reservation.
Installed Google Tag Manager, wired Meta Pixel plus server-side Conversions API, and mapped booking events (inquiry, deposit, confirmed sailing) as distinct conversions. Ad platforms now report on the events that actually matter.
Ongoing AI-assisted ops retainer.
Continuous optimization of the automations, message copy, and reporting — the system gets sharper monthly instead of frozen at launch.
- GHL pipelines, calendars, and automations
- Legacy booking platform decommissioned
- GTM + Meta CAPI (server-side) implementation
- Conversion event mapping to booking milestones
- Ongoing optimization retainer
The results
- Every ad dollar now maps to a booking milestone, not a landing page view.
- One login and one system of record for the operator instead of a stitched-together stack.
- Server-side conversion signal restored ad platform reporting after iOS attribution decay.
- Guest communication runs on defined, testable workflows instead of ad-hoc email.
What this means for a business like yours
If you're an experience or events operator relying on a legacy booking tool with no server-side tracking, your ad platforms are flying blind — and so are you. The fix isn't more spend. It's rebuilding the plumbing so the numbers your platforms report actually mean something.
